Terms of Service

1. Acceptance

By accessing or using the Adisa HR HR & Employee Portal ("the Portal"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Portal. By submitting a job application or registering as an employee, you confirm that you have read and accept our Privacy Policy and consent to the processing of your personal data as described there.

2. Use of the Portal

The Portal allows you to apply for positions, track applications, manage leave, view payslips, and manage your employee profile. You must provide accurate, complete, and up-to-date information and use the Portal only for lawful purposes. You may not misuse the system, attempt to gain unauthorised access, interfere with other users, upload malicious or inappropriate content, or submit false or misleading information.

3. Job Applications

When you apply for a position, you are responsible for the accuracy of the information and documents you provide (including CV, cover letter, and any requested certificates). We may verify the information you provide. You may withdraw your application at any time through the Portal where the functionality is available. Application data may be retained as set out in our Privacy Policy.

4. Employee Profiles and Documents

If you are an employee, you must keep your profile and contact details up to date. Documents you upload (e.g. ID, qualifications, compliance documents) must be genuine and may be checked for authenticity. We may request original or certified copies where necessary for employment or legal compliance. Providing false or forged documents may result in disciplinary action or termination.

5. Payroll and Banking Details

You are responsible for the accuracy of the bank account details and tax information you provide for payroll purposes. We are not liable for failed or misdirected payments resulting from incorrect details you have submitted. Any errors should be reported to HR promptly. Payroll data is processed in accordance with our Privacy Policy and applicable Ghanaian tax law.

6. Leave and Absence

Leave requests submitted through the Portal are subject to approval in accordance with your employment terms and the organisation's leave policy. Submitting a leave request does not guarantee approval. You must not submit leave requests on behalf of another employee unless explicitly authorised to do so. Misuse of the leave system may result in disciplinary action.

7. Confidentiality

Through your use of the Portal you may have access to information about colleagues, including names, roles, leave status, and organisational structure. This information is provided for legitimate work purposes only. You must not share, disclose, or use such information outside of your employment duties. This obligation survives termination of your employment or access to the Portal.

8. Accounts and Security

You are responsible for keeping your account credentials secure and for all activity under your account. You must not share your login credentials with any other person. Notify us promptly of any unauthorised use. We may suspend or terminate accounts that violate these terms or for operational, security, or legal reasons.

9. Intellectual Property

The Portal and its content (excluding content you submit) are owned by us or our licensors. You may not copy, modify, or distribute our materials without permission. You grant us the rights necessary to use the information and documents you submit for the purposes of recruitment, employment, and legal compliance.

10. Disclaimer and Limitation of Liability

The Portal is provided "as is." We do not guarantee uninterrupted or error-free service. We are not liable for decisions made based on information in the Portal, including hiring decisions, which remain at our discretion. To the fullest extent permitted by applicable law, our liability to you in connection with the Portal shall not exceed the amount, if any, paid by you to access it. Nothing in these terms limits liability for fraud, death, or personal injury caused by negligence.

11. Governing Law

These terms are governed by the laws of the Republic of Ghana. Any dispute arising in connection with these terms or the Portal shall be subject to the exclusive jurisdiction of the courts of Ghana, unless otherwise required by law.

12. Severability

If any provision of these terms is found to be unenforceable or invalid under applicable law, that provision shall be limited or removed to the minimum extent necessary, and the remaining provisions shall continue in full force and effect.

13. Entire Agreement

These Terms of Service, together with our Privacy Policy, constitute the entire agreement between you and us regarding use of the Portal and supersede any prior agreements or understandings. They do not affect any separate employment contract or other agreement you may have with the organisation.

14. Changes

We may update these terms from time to time. Continued use of the Portal after changes constitutes acceptance. We encourage you to review this page periodically. Material changes may be communicated via the Portal or by email where appropriate.
